Our Canadian operation, Canaccord Genuity Corp., is currently looking for a knowledgeable and motivated Front Office Coordinator to join our Calgary office. Role hours are 8:00 am – 4:00 pm.
Handle incoming calls on a multi-line switchboard;
Greet high profile clients and visitors;
Coordinate outgoing courier requests for local, national, and international deliveries, including inter-office;
Open and sort all incoming mail for delivery to appropriate recipients;
Receive, sign for, and track incoming couriers;
Log and track incoming cheques and securities;
Assist with cheque/certificate pick-up by client;
Organize meeting room schedules and ensure rooms are clean and organized;
Review and allocate costs for department invoices;
Order stock for office kitchens and general stationery;
Maintain storage area for all departments;
Order for and set up office luncheons and events;
Perform Facilities support functions in coordination with Facilities Canada West department in Vancouver;
Identify, initiate, and participate in process reviews and continuous improvement initiatives with Manager;
Develop and maintain a high level of expertise and knowledge of the department functions;
Provide assistance to General Office Coordinator as needed;
Perform ad hoc administrative tasks and special projects as required.
